We provide detailed instructions for preparing and uploading the final camera ready manuscript. Two versions of the manuscript have to be prepared and submitted in a single zip file. Please read this entire page CAREFULLY and prepare the manuscripts as per the given instructions.

Instructions for Preparing Camera Ready Manuscripts

  • The camera ready paper must be submitted by October 20, 2015, 23:59:59 IST at the authors' console by logging into the NCVPRIP 2015 CMT portal.
  • Do not delete any previously submitted material.
  • To prepare the final manuscript, authors must use the manuscript template specified for IEEE Conference proceedings.
  • The camera-ready paper should include the authors' names, their affiliations, and contact details at the beginning of the paper, as shown in the style file. You may also refer to self-citations in the first person, and include acknowledgements, if any.
  • The title of the paper must not be changed for the camera ready version, unless it is to correct some typographical errors, or the change is suggested in the review process. Any change must also be reflected in the relevant CMT paper submission text record that was created when thepaper ID was generated.
  • The reviewers and area chairs have taken a lot of effort to review each paper. Their suggestions should be taken into account while preparing the camera-ready paper.
  • The paper must not exceed 4 pages in length (including all text, figures, and references).
  • The manuscript must be in pdf format only.
  • The camera-ready pdf file must have all fonts embedded. Only Type 1, Type 1C or TrueType fonts (scalable) should be used. Do not use Type 3 (bit-mapped) fonts. Bit mapped fonts are NOT ok even if they are embedded.
  • Authors using the LaTeX template must use the following package options: 10pt, final,conference, letterpaper. Authors using software other than the TeX/LaTeX system should match the pdf generated in keeping with IEEE guidelines available on their web page.
  • After creating the pdf file, you must check if all fonts are embedded and are only Type 1, Type 1C or TrueType. To verify,
    • In Acrobat reader use 'File' – 'Document Properties' and click on the 'Font' tab. Make sure that all the fonts that are listed have embedded subset written next to them and have type label as Type 1/Type 1C/TrueType.
    • From a UNIX command-line, execute pdffonts .pdf. This will list the type and information of all the fonts which are used in the document. Everything should be Type 1/Type 1C/TrueType and "emb" should be "yes".
  • The images embedded in the paper must not contain transparent pixels (i.e., an alpha-channel of a transparent color) since this could lead to problems when displaying or printing the pdf.
  • The pdf manuscript must not have Adobe Document Protection or Document Security enabled.
  • Now create two versions of this final manuscript
    • The first version is for distribution during the conference.
      • In this version, the authors must include a line at the bottom of the first page of the paper that says “This is a pre-print version of a paper accepted to NCVPRIPG 2015, IIT Patna.” Authors using the LaTeX template for typesetting can use the /thanks option in the author list to place this in the correct position on the page.
      • This pdf file should be named as FirstAuthorLastName.PaperId.pdf. E.g., if the first author name is Tim Sharma and the paper ID is 21, then the file name should be Sharma.21.pdf.
    • The second version is for submission to IEEE so that it can become part of the online proceedings.
      • Include the following text as the copyright notice at the bottom of the first page of the paper: 978-1-4673-8564-0/15/$31.00 ©2015 IEEE
      • Authors using the LaTeX template for typesetting can use the \IEEEpubid command to place this in the correct position on the page. \IEEEoverridecommandlockouts may need to be used to enable the \IEEEpubid command.
      • This version has to checked on the IEEE PDF eXpress website. For doing this:
        • Login to the PDF eXpress website at http://www.pdf-express.org.
        • First time users should select the New Users - Click Here link.
        • Enter the following: 36365X for the Conference ID, your email address, a password , You will receive online and email confirmation of successful account setup.
        • After logging in to PDF eXpress, for each camera-ready paper, click “Create New Title”. Enter Identifying text for the paper, for example your paper title. Click “Submit PDF for Checking”.
        • Click “Browse” and select your PDF file. Click “Upload File” and you will receive online and email confirmation for successful file upload.
        • You will receive an email with your checked PDF.
      • This pdf file should be named as FirstAuthorLastName-IEEE.PaperId.pdf. E.g., if the first author name is Tim Sharma and the paper ID is 21, then the file name should be Sharma-IEEE.21.pdf.
  • Include both the pdf versions in a zip file and name it LastNamt-PaperId.zip. The size of this zip file must not be more than 10MB. Upload this file to CMT.
  • Fill the IEEE electronic copyright form (eCF) by clicking the link on CMT. The author will be redirected to the IEEE eCF website to fill the copyright form. After the form is filled, download a copy and upload the pdf of the copyright form to CMT. Please note that this is mandatory for publication.
  • Authors should check if the camera-ready paper is uploaded correctly at the CMT portal (ideally, download after upload).
  • If an author is being added or changed on the camera ready version of the paper then the corresponding author must send an email to the publication chair with a copy to all authors of the paper mentioning the paper id, paper title, names and email addresses of all the authors with the subject line Change of authors for Paper ID XYZ of NCVPRIPG 2015." Also, the list of authors on both versions of the camera ready paper and the CMT portal must exactly be the same.
