Dear presenters,

Here are a few instructions for presenting your papers/posters in the conference. Please ensure that you adhere to them.

Instructions for Preparing Posters
  • Posters should be of 33.11in x 46.81in size.
  • Posters must be formatted in a portrait orientation.
  • Posters must succinctly and clearly convey the idea of your work. Please ensure that all your fonts are legible and images are clear when viewed from distances of approximately 2ft from the poster.
  • There is no specific template for the poster.
  • The poster boards will be numbered, and you will be requested to put your poster at the assigned space.
  • You should put your posters during lunch, on the day your poster is scheduled.

Instructions for the Poster Spotlight Presentation
  • The Poster Spotlight sessions will take place at the start of each poster session, i.e., on 17th December, 2:30pm-3:00pm and on 18th December, 2:00pm-2:30pm.  Please take a moment to find out which session you are in based on the schedule on the conference web page.
  • During this session, each spotlight presenter will have 60 seconds to summarize their work enabling everyone to be  ready for the actual exhibit of the poster (immediately after the spotlight presentation).  Participation in the Poster Spotlight session is mandatory; every poster must be represented.
  • In the following paragraphs presentation preparation details, general guidelines and submission procedures are described. Authors are requested to follow the instructions strictly. Submissions that do not adhere to the instructions will be removed from the Spotlight.
  • Use your time wisely. This will be the first impression that viewers will have about your poster, so make sure your take-home message adequately represents your work.

Spotlight Presentation Preparation
  • Prepare your presentations in Microsoft PowerPoint 2010 pptx format. There is no opportunity to use any other format, so please do not ask. Due to Audio-Visual restrictions, aspect ratio should be standard 4:3.
  • Presentation can be made in any template, though light coloured text on a dark background is preferred.
  • There should be no more than 3 slides in your presentation, including the title slide.
  • All presenters for the session will line up before the start of the session. A presenter should occupy the podium when their title slide is being displayed. You may start speaking as soon as your name appears, or wait till your first slide shows up. Presentations will be truncated at 60 seconds.
  • The presenter will not be able use a keyboard/mouse during presentation, due to time restrictions.
  • In order to provide the best experience for attendees, we recommend that you rehearse your presentation many times before the event, so as to get familiarized to the timings.
  • Please check your slides on a computer running MS Powerpoint before submitting.

Spotlight Presentation Submission
  • The deadline for the submission of Spotlight slides is December 13, 11:59 GMT. Please name the pptx file as per the following:
    • If lastname of the first author is XYZW and the paper id is ###, then your poster spotlight presentation should be named as poster-###-XYZW.pptx.
    • Please make sure that the paper id in the filename is a 3 digit number. If your paper id was single or two digit, pad to with appropriate number of preceding zeros. E.g., for lastname kumar and paper id 34, the filename should be poster-034-kumar.pptx.
  • Maximum file size that can be uploaded is 10MB.
  • To submit, mail your pptx file to ncvpripg2015@gmail.com with subject line, “NCVPRIPG 2015 Poster Spotlight: paper id.”
  • Presentation files mailed after the deadline will not be accepted.
